The team workspace
workspace (Workspace) is Aivory’s multi-person collaboration unit: one ** Totally Independent ** The shared space, where conversation, project, knowledge base is visible to all members, any member can continue any conversation, and the cost is recorded on the person who actually sent the message. This page covers the relationship between personal space and team space, creation and invitation to join, visibility of sharing content, membership permissions, space switching and conversation archives.
Personal space and team space
Each account naturally has a personal space; each workspace you join or create is a separate space that is parallel and isolated from each other:
| The personal space. | The workspace | |
|---|---|---|
| Conversation / Project / Knowledge Base | Only you can see yourself. | All members can be seen |
| Interconnected content | Not compatible with any workspace | There is no interconnection between space. |
| The knowledge base. | Building a personal knowledge base. | The knowledge base of this space. |
| Personal Memories and Persona | Normal injection | Absolutely not injected (privacy protection) |
| calculated | Keep in mind your account. | Who sends who pays? |
Isolation is a two-way hard boundary: conversations opened in a workspace do not appear in a personal space list, and the personal knowledge base can not be hanged in a conversation in a workspace, and vice versa.
Share conversations do not inject your personal memories and Persona, nor extract new memories from shared conversations.Your personal preferences will not be leaked to colleagues, and your words will not be remembered as “your facts.”Accounting and personalization.。
Opening conditions
Can the user group control the creation of a workspace: Administrators have a "workspace" switch on the user group editing page and a "maximum number of workspace" ceiling (0 is unlimited), see Users and quota。
- When the group is not opened, the Create Input message says “Your package does not support creation of workspace.”
- When the maximum number is reached, the message "Your package has reached the maximum creation of workspace"
- ** Join by invitation link ** The space created by others is not limited by this.
Creation of workspace
- Open the sidebar. ** The head menu. ** Select “Workspace → Create workspace”
- Fill out the spatial name and confirm the creation;

Invitation and Accession

The workspace ** It can only be accessed via invitation link. ** There is no search, application or mail invitation mechanism.
https://your-domain.example/workspace/join/<token>
The token is a 192-bit random capability token that can be joined by holders of links and sent only to trusted people.
In the “Member” pop-up in the first image menu, the creator can:
| Operated | Explained |
|---|---|
| Copy the invitation link. | Send to those who want to join. |
| Restore the link (the old link is immediately invalid) | New tokens are generated and old links that have leaked are canceled; members who have joined are not affected. |
| Removal of Members | Throwing a member out of space. |
| Removing the workspace | See “Delete and level association” below. |
Ordinary members can view the list of members in the same window. ** Exit from the workspace **。

- Confirm automatically enters the space after joining.
When the link has been reset by the creator, adding pages will indicate that "the invitation link has expired" and ask the creator for a new link.
Sharing content and visibility
After entering the workspace, the conversation history, project list, and knowledge base list of the sidebar are displayed. ** All content of the space. ** No matter who created it:
- ** Conversation is ** The sidebar on the right side of the title of each conversation displays the creator's first image and nickname; any member can turn on any conversation to view the full history and continue the conversation directly.
- ** Bubbles belong to ** The message itself is on the right; the questions of the other members are on the left and with the author's image and nickname, and the AI answers are also on the left.
- ** Simultaneous Questions ** Multiple members can ask questions simultaneously in a conversation; one’s answers are still being generated, the other’s questions will not be mistaken, and the context assembly will automatically skip the unfinished rounds.
- ** Project and Knowledge Base ** Project instructions in space, project knowledge base, independent knowledge base are effective for all members, any member's conversation can be loaded and retrieved. Knowledge Base and Documentation。

- In your conversations with colleagues, you consume your own daily quota and credits.
- The costs of derivative tasks such as retrieval, examination, and compression shall also be borne by the sender;
- Each usage record has spatial attributions, and administrators can see the "spatial" logo in the usage report and check the cost by spatial.

Change of space.
Three entrances, the effect is consistent:
- ** The sidebar. ** After entering the workspace, the current spatial name is displayed at the top of the sidebar; on the right side of the name there is a common two-way arrow button, with one key to cut back into the personal space.
- ** The space switch next to the head. ** As long as you belong to any of the workspace, there is a switch button next to the headline at the bottom of the sidebar, open the flat list (personal space + all the workspace you are in, the current item), select and switch.
- ** The head menu. ** Also includes space switching and creation, member management entries.
The switch comes into effect immediately, and the session list, item, and knowledge base are reloaded. ** Permanent in the local browser. ** When the browser is closed and opened, it remains in the original space; change the device or clear the browser data and return to the personal space.
Archive for Conversation
The conversation list in space also supports archiving:
- In the "---" menu of the sidebar conversation, select "Archive", and the conversation is collected from the list;
- The sidebar can open the “Archived conversation” list to view, reopen, cancel the archive, or delete it (if it’s a conversation you created yourself).
- After deleting the archive, the conversation returns to the normal list.
Archiving affects only the list display and does not delete anything; administrators can still view all sessions in the background, including those that have been archived.
The administrator’s perspective
admin console has a separate “workspace” menu:
- List shows the name, creator, number of members, and time of creation of all spaces;
- Tap into the details that can drill the members, conversation, project, knowledge base of the space;
- The conversation list can be opened directly to the Administrator Session Viewer to read the full chat record.
- The administrator can remove the infringement space.

Common Questions
- ** Does it cost to join space? ** Joining itself does not consume any quota; then you send a message in the space by pressing "Who sends who bills" to consume your own quota and credits.
- ** The invitation link leaked, what to do? ** The creator immediately "reset links" in the member pop-up window, the old links are abolished; the people who have been mixed with "remove members" are kicked out.
- ** Why can’t I see my personal knowledge base in space? ** This is deliberately designed: space and personal content are two-way isolated, and the information that needs to be shared is uploaded to the new knowledge base in the space.
- ** Can members delete my conversation? ** The entire conversation can only be deleted by its creator; members can only delete a few rounds of questions initiated by themselves.
